Our Insurance Enrollment Process
Every insurance enrollment project follows a structured administrative process designed to establish clear expectations from the very beginning.
Step 1 - Purchase the insurance enrollment service that best fits your individual or practice needs.
Step 2 - Receive your welcome email with instructions for the next steps, including your onboarding consultation scheduling link, enrollment intake packet, required document checklist, secure document upload link, and Insurance Enrollment Service Agreement.
Step 3 - Schedule and complete your 30-minute onboarding consultation. During your consultation, we'll review your enrollment goals, discuss the insurance companies or programs you wish to enroll with, identify any additional documentation needed, review portal access requirements when applicable, and establish documentation timelines for your project.
Step 4 - Submit all required documentation. Enrollment application preparation begins only after all required documentation has been received and reviewed for completeness.
Step 5 - Your enrollment applications are professionally prepared using the information and documentation you provide.
Step 6 - Completed enrollment applications and supporting documentation are submitted according to each payer's credentialing requirements and enrollment procedures.
Step 7 - Insurance companies independently review all enrollment applications and communicate directly with you regarding application status, participation decisions, contracts, and requests for additional documentation. If an insurance company requests additional documentation that falls within the scope of your purchased service, you are responsible for providing the requested information to Genuine Hearts Treatment Clinic within two (2) business days of notification. Qualifying documentation will be submitted promptly upon receipt.

Commercial insurance, Medicare, and State Medicaid each require separate enrollment processes. You may purchase only the services your practice needs or combine multiple services into a customized enrollment project.
Before You Purchase
Insurance enrollment services assume you already have the required provider enrollment accounts applicable to your project (such as NPPES, CAQH, PECOS, or state Medicaid portal registration).
If you need assistance establishing these accounts, Genuine Hearts Treatment Clinic offers these services separately.
Individual Provider Enrollment Services
Individual Commercial Insurance Enrollment
Enrollment with up to five (5) commercial insurance companies of your choice.
Base Professional Fee Includes:
One 30-minute onboarding phone consultation
Application preparation and submission
Coordination of required supporting documentation
Enrollment with up to five (5) commercial insurance companies
Professional Fee: $995
Additional Service & Professional Fee:
Enroll with one additional commercial insurance company beyond the five (5) included - $295 per insurance company
Individual Medicare Enrollment
Enrollment with the Medicare program for an individual provider.
Base Professional Fee Includes:
One 30-minute onboarding consultation
Medicare application preparation and submission

Individual State Medicaid Enrollment
Individual enrollment with a state's Fee-for-Service Medicaid program and participating Managed Care Organizations (MCOs) for providers billing under their own Social Security Number (SSN) or individual Tax Identification Number (TIN).

Group Practice Commercial Insurance Enrollment
For newly established group practices billing under a business Employer Identification Number (EIN).
Professional Fee: $1,995
Base Professional Fee Includes:
Enrollment of the group practice (business/entity)
Enrollment of the practice owner
Enrollment of both the group practice and practice owner with up to five (5) commercial insurance companies
One 30-minute onboarding consultation
Application preparation and submission
Additional Commercial Insurance Enrollment Service & Professional Fee
Enroll one additional clinician with up to five (5) commercial insurance companies - $695 per clinician
Add one additional commercial insurance company beyond the five (5) included - $295 per insurance company
Group Practice Medicare Enrollment
Medicare requires separate enrollment for the group practice and each individual provider.

Professional Fees are due in full before work begins. All sales are final, and no refunds will be issued.

Our services are limited to the professional preparation and submission of insurance enrollment applications based on the information and documentation you provide.
Insurance companies independently determine provider eligibility, panel availability, credentialing requirements, contracting decisions, reimbursement rates, and enrollment outcomes.

Insurance companies independently establish their own credentialing requirements, review timelines, panel availability, contracting decisions, reimbursement rates, and enrollment policies. Genuine Hearts Treatment Clinic cannot influence, expedite, or guarantee an insurance company's review process or enrollment decision.

Each enrollment project includes one (1) 30-minute onboarding consultation.
One consultation reschedule is permitted when requested in advance. Missed consultations without prior notice are forfeited.
If your onboarding consultation is not scheduled within sixty (60) calendar days of purchase, your project may be considered inactive and subject to closure.

Enrollment application preparation begins only after all required documentation has been received and verified as complete.
Clients are responsible for providing complete, accurate, and current information and documentation throughout the enrollment process. Incomplete, inaccurate, outdated, or missing information may delay application preparation, submission, or insurance company review.
Additional Documentation Requests
Insurance companies communicate directly with providers regarding requests for additional information or documentation during the enrollment review process.If you receive a request that falls within the scope of your purchased service, please forward the insurance company's communication and provide any requested documentation to Genuine Hearts Treatment Clinic within two (2) business days whenever possible.
Upon receipt of the requested information, we'll promptly prepare and submit the qualifying documentation to the insurance company on your behalf.
Document Retention
Enrollment documents are retained for one (1) year following project completion and may be securely destroyed thereafter. Clients are responsible for maintaining copies of all submitted documentation. -
Enrollment services requested outside the scope of your original purchase require a separate service purchase and Professional Fee. Additional work will begin only after the new service has been purchased.

Projects that remain inactive for sixty (60) consecutive calendar days due to missing documentation, incomplete information, failure to schedule the onboarding consultation, or lack of client response may be considered abandoned and closed at the discretion of Genuine Hearts Treatment Clinic.
